For our Austrian-headquartered client, we are seeking a versatile and hands-on Office Manager (m/f/d) to join the team in Dubai. This role is ideal for a highly organized individual who enjoys wearing multiple hats and thrives in a dynamic, international work environment. You will be responsible for ensuring seamless administrative, financial, and HR operations, while also providing key support in project coordination and operational processes. 

 

Your duties and responsibilities will include:

  • Oversee all financial administration, including daily liquidity planning, payment processing, invoice management, and account reconciliations
  • Prepare monthly financial reports and if needed, coordinate with external providers
  • Issue customer invoices, manage receivables, and ensure timely follow-up on outstanding payments
  • Lead end-to-end HR functions, incl. recruitment coordination, preparation of offer letters and contracts, onboarding, and maintaining employee records
  • Handle visa applications and renewals, manage health insurance coverage
  • Process monthly payroll including overtime, leave tracking, and payslip distribution
  • Act as the central point of contact for all employee-related documentation and ensure compliance with internal HR procedures
  • Closely collaborate with the internal project execution team and support by maintaining documentation, coordinating international and local shipments, and managing the allocation of production hours
  • Organize key administrative tasks such as facility contracts, license renewals, and business travel arrangements
  • Ensure smooth day-to-day office operations and act as a reliable liaison between departments and stakeholders

 

To be successful in this role, you should have the following skills and experiences:

  • A Bachelors degree in Business Administration or a related discipline is required
  • Several years of experience in office management, HR, or a similarly multifaceted role within an international and fast-paced business environment
  • Proven hands-on experience and comprehensive exposure to HR operations, financial processes, and general administrative functions
  • Strong command of financial administration, including payment execution, invoice management, and account reconciliation
  • Exceptional organizational skills, with a structured and solution-oriented mindset and the ability to manage multiple priorities simultaneously
  • Be a collaborative and dependable team player who works with a high degree of independence and initiative
  • Comfortable navigating a dynamic work environment with shifting tasks and responsibilities
  • Excellent communication skills in English; proficiency in German is a valued advantage
  • Technically adept, with a pragmatic and hands-on approach to day-to-day challenges
